Jupiter Cars is the trading name of Jupiter Cars & Couriers Limited, company number 08288771. We are responsible for deciding how the personal information described in this notice is used.

This notice applies when you visit our website, use our apps, request or take a journey, make a telephone booking, or contact us by email, WhatsApp or another support channel. It also explains how we handle information needed to work with drivers and staff who take bookings or dispatch vehicles.

Information We Collect

Depending on how you use our service, we may collect:

  • Contact and account details: your name, telephone number, email address and account information.
  • Booking details: collection and destination addresses, dates and times, stops, flight information, passenger and luggage details, vehicle category, quoted fare and booking reference.
  • Journey details: booking status, assigned driver and vehicle, and vehicle location used to coordinate the journey and provide estimated arrival information.
  • Payment records: amounts, currency, payment or refund status, invoices and transaction references.
  • Communications: information in booking notes, emails, WhatsApp messages, calls, complaints, lost-property reports and support requests. Calls may be recorded for booking evidence, training and monitoring. We inform callers when recording applies.
  • Website and app information: technical information such as IP address, browser and device details, and application logs needed to operate and secure our services.
If someone else books a journey for you, such as a family member, employer or travel organiser, we may receive your contact and journey details from them.

Information Needed to Book

We need a collection point, destination, journey date and time, and a way to contact the customer to arrange a booking. An airport booking may also require flight details.

Without the information needed for that journey, we may be unable to provide a quote or accept the booking. Optional requests can be left blank.

Child Seats & Accessibility Requests

If you request a child seat or accessible vehicle, we ask for the practical details needed to consider your request. Please do not send a diagnosis or medical information that is unnecessary for the journey.

A call or free-text message may nevertheless reveal health or disability information. We limit access to such details, remove unnecessary information, and handle details only under an applicable lawful basis.

Drivers and Booking Staff

We handle driver identity, contact, photograph, licensing, vehicle and availability information to allocate journeys and meet private-hire operator requirements.

Transport for London (TfL) also requires operators to keep a register of people who take bookings or dispatch vehicles and to check the relevant Disclosure and Barring Service (DBS) information. We handle the information required for that register and provide separate privacy information to the staff concerned. We do not keep a copy of a DBS certificate after assessing it where TfL guidance directs that it be returned.

We assess the appropriate basis for each use. We do not assume a passenger personally entered the booking contract merely because another person booked their journey.

Payments

A payment service provider processes online payments and approved refunds. We keep transaction records needed to manage bookings, provide receipts, meet accounting requirements and address payment disputes. The payment provider may also handle information under its own legal obligations and privacy terms.

Drivers, Vehicle Location & Cameras

We give the driver assigned to your journey the information needed to provide it, including collection and destination details, relevant instructions and a way to contact you.

We use vehicle location to coordinate collections, provide estimated arrival information and address safety concerns. Access is limited according to those purposes.

Some self-employed drivers may independently operate an in-vehicle camera for safety or security. The notice for a camera should identify who is responsible for its recordings. If footage is supplied to Jupiter Cars for a complaint, incident or claim, we handle the copy we receive for that purpose.

Who Receives Information

We give the assigned driver the details needed for your journey. Providers supporting our booking and dispatch, hosting, communications, payment, customer-support and security services may process information needed to perform those services for us. We require providers acting on our behalf to protect it under appropriate contractual and security arrangements.

Where relevant, we may disclose information to accountants, insurers, claims handlers and professional advisers. We may give relevant records to TfL, HMRC, the police or another authority where required or permitted by law.

We do not sell customer information or share it with other companies for their own advertising.

International Handling

We do not send bookings to overseas transport operators or international transport partners.

How Long We Keep Information

We keep information according to its purpose and applicable regulatory, tax and legal requirements. We do not apply one period to every record.

We may keep relevant records longer while a complaint, investigation or legal claim remains active. We restrict access to information kept for that reason and review whether it is still needed.

Cookies & App Permissions

Our website and apps use technologies needed to provide and secure the service. For other technologies, we provide information and obtain consent where the law requires it. Where a legal exception applies, we provide any required information and objection control.

You can manage available choices through our website controls and app or device settings. Disabling an app permission may affect the related feature.

Security

We use technical and organisational measures appropriate to the information we handle. Access is limited according to a person’s role. We review suspected security incidents and require providers acting on our behalf to meet relevant security requirements.

Your Rights

Depending on the circumstances, you may ask us to access, correct or delete your personal information; restrict its use; or provide eligible information in a portable format.

You may object to processing based on our legitimate interests. We will consider your objection under the applicable legal rules. Where we rely on consent for a particular activity, you may withdraw it.

These rights are not absolute. For example, a deletion request does not automatically remove records we must keep for TfL, tax or legal purposes. We may verify your identity before disclosing booking information.

Email support@jupitercars.com to make a request. We respond to access requests without undue delay and generally within one month, subject to applicable rules.

Privacy Complaints

If you are concerned about how we have handled your information, email support@jupitercars.com and tell us what happened. We will acknowledge a data-protection complaint within 30 days, investigate it appropriately, keep you informed and communicate the outcome without undue delay.

You can also complain to the Information Commissioner’s Office (ICO).
